Have you Volunteered Yet?

When Words Collide is a 100% volunteer run festival.

The organizers work throughout the year coordinating venues, guests, speakers, marketing and more, so that we all have a terrific annual festival celebrating the written word.

But we also need volunteers during the festival to make the experience even more enjoyable.

In the past we have received book donations and gift certificates to reward festival volunteers for their time and effort. For 2013 we have decided to expand our reward program. To manage this expansion we are introducing an escalating reward system. For each volunteer hour you will receive 1 volunteer point. Volunteer points may then be traded in for rewards. eg.

1 point: donated book selection
2 points: book store gift certificate $10
4 points: volunteer T-shirt
8 points: weekend membership (current year)
10 points: weekend membership (future year)

As we accumulate additional rewards we will include them in our point system.

What volunteer positions do we need?


Registration Assistant

  • Look up pre-registered attendees in a list and supply them with their badge and a program book.
  • Process at-door registration forms.
  • Process 2014 registration forms.
  • Sell t-shirts.
  • Manage 50-50 draw tickets.

The Registration Manager will be available to answer any questions you may have and address any issues that arise.

Hospitality Assistant

  • Ensure the hospitality suite is tidy.
  • Replenish ice and snacks as required.
  • Manage 50-50 draw tickets.

* The Hospitality Manager will be available to answer any questions you may have and address any issues that arise.

Program Usher

  • Before your session starts, place speaker placards on head table.
  • Keep a head count of attendees for your session.
  • Ensure your session starts on the hour and ends 10 minutes before the hour.
  • Provide 5 minute and zero minute warnings (to ensure your session ends on time).
  • Make brief notes of how well each panel is received, along with any issues that arise.
  • Ensure only signed-up people attend if the session is full (Koffee Klatches & Workshops).

* A clipboard of sessions materials (description, placards, and note paper is provided).

AV Technician

  • same as Program Usher except that the Victoria Ballroom includes a PC projector and screen.
  • Assist with projector setup, if needed.
